Registration procedure for a student whose project requires a compliance review
Procedure - Doctorate
Procedure - Masters program and specialized graduate diploma (DESS)
The objective of this procedure is to ensure that all research projects that require a compliance review for ethical, environmental or other reasons are reviewed and authorized before the beginning of the research work.
The student and the Research Director must indicate whether the project is likely to require a compliance review at the time when the form entitled Identification du sujet de recherche (Identification of research subject) is submitted. If the form indicates that a compliance review may be required, the student must contact the designated Coordinator in order to initiate the certification process.

Once the
designated Coordinator has been contacted
in order to initiate the certification process with the DRTT (Dean of research office), the student can register for a maximum of:

Procedure – Doctorate
1.
Once activity DGA1031 has been completed, the student fills out the form entitled Identification du sujet de recherche (Identification of research subject).
This is the time when the student must indicate whether the project is likely to require a compliance review.
If the form indicates that a compliance review may be required,
a limit of 15 research credits will be applied to the student’s registration file
.
The
Bureau des cycles supérieurs
(Graduate and Ph.D. studies office) will inform the student of the obligation to contact the
Designated Coordinator
in order to initiate the compliance review process.
2.
Once the student has contacted the
Designated Coordinator in order to initiate
the compliance review process, the
Bureau des cycles supérieurs
will be informed, and
the limit applying to research credits will be increased to 30
.
3.
Once the
compliance review process has been completed and a decision has been rendered
, the
Bureau des cycles supérieurs
will be informed, and the limit applying to research credits will be lifted.
4.
If the compliance review process has not been completed or if a decision has not been rendered by the time the student has earned 30 credits:
The Designated Coordinator will assess the situation, and may allow the student to register for additional credits. In such a case, the Designated Coordinator will inform the clerk at the
Bureau du registraire
(Registrar’s office) by e-mail, and the clerk will carry out the registration manually.
For the student, registration via Cheminot remains blocked until the final decision is rendered and conveyed to the
Bureau des cycles supérieurs
.
Procedure – Masters program and Specialized graduate diploma (DESS)
1.
In the case of a masters program, the student must submit the form entitled Identification du sujet de recherche (Identification of research subject) before being permitted to register for research credits. This is the time when the student must indicate whether the project is likely to require a compliance review.
If the form indicates that a compliance review may be required, the prohibition against registering for research credits will be
maintained until such time as the student has contacted the Designated Coordinator
in order to initiate the compliance review process.
The
Bureau des cycles supérieurs
(Graduate and Ph.D. studies office) will inform the student of the obligation to contact the
Designated Coordinator
in order to initiate the compliance review process.
2.
Once the student has contacted the
Designated Coordinator in order to initiate
the compliance review process, the
Bureau des cycles supérieurs
will be informed, and the student will then be permitted to register for a certain number of credits, as follows:
Masters with dissertation: The student is permitted to register for a maximum of 9 research credits.
Masters with project (15 credits): the student is permitted to register for a maximum of 6 research credits.
Masters with project (6 or 9 credits): the student is not permitted to register for any research credits.
3.
Once the
compliance review process has been completed and a decision has been rendered
, the
Bureau des cycles supérieurs
will be informed, and the limit applying to research credits will be lifted.
4.
If the compliance review process has not been completed or if a decision has not been rendered by the time the student has earned the permitted number of credits:
The Designated Coordinator will assess the situation, and may allow the student to register for additional credits. In such a case, the Designated Coordinator will inform the clerk at the
Bureau du registraire
(Registrar’s office) by e-mail, and the clerk will carry out the registration manually.
For the student, registration via Cheminot remains blocked until the final decision is rendered and conveyed to the
